Overview
Clients is your customer database. Every person who walks in, books online, or receives a marketing message has a profile here. Their appointments, sales, payments, invoices, notes, and consent preferences all live under their name so you can see the whole relationship at a glance.
The clients list
The main page is a search-first, filterable table of everyone in your database.
- Search by name, phone, or email.
- Filter by status (active/inactive) and date added.
- Sort by newest, oldest, or name A–Z / Z–A.
- Import a CSV to bulk-create clients (duplicate email / phone is skipped with a report).
- Export the filtered list as CSV for external tools.
- Each row shows name, phone, email, total sales, appointments count, and last visit.
Adding a client
- 1Click Add Client. The profile modal opens with several collapsible sections.
- 2Fill in Basic Info — first name, last name, email, phone, gender, birthday. Only name is strictly required, but email or phone is needed for notifications.
- 3Expand Additional Details if you collect IDs, country, occupation, preferred language, client source, or a referrer.
- 4Open Business Client if this is a B2B account — enter the VAT and CR numbers for ZATCA-compliant standard invoices.
- 5Use Advanced for medical fields (allergies, emergency contacts), pronouns, and multiple saved addresses.
- 6Save. The profile opens immediately so you can continue setting up notes or preferences.
Walk-in at the POS
You don't have to create a client before ringing up a sale — every checkout has a Walk-in toggle. If the person becomes a regular, you can convert the walk-in to a full profile later.
The client profile
Clicking any client opens a tabbed profile. Each tab is a different angle on the same person.
- Overview
- Key facts: joined date, total sales, appointment counts, last visit, quick actions.
- Profile
- All contact and demographic fields. Edit Profile re-opens the form used to create the client.
- Appointments
- Filterable list of past, upcoming, and cancelled appointments. Book Again is a one-click repeat.
- Sales
- Every transaction linked to this client — open a row for its full receipt.
- Payments
- The payment side of sales: date, method, amount.
- Invoices
- Formal invoices issued to the client (ZATCA status shown if simplified/standard e-invoicing is enabled).
- Notifications
- Appointment and marketing consent toggles. Also controls booking portal access and password.
Notes
Notes are a running log attached to the client. They appear on the Notes tab and can also be pinned to show at the top of the profile overview.
- Add a note any time — allergies, preferences, off-record reminders.
- Pin anything critical so it's the first thing the team sees when the client walks in.
- Notes are ordered newest-first by default; pinned notes float to the top.
Standard segments
Standard segments are read-only, automatically populated groupings. Open Clients → Segments → Standard to see who currently falls into each one.
- New Clients
- Added in the last 30 days.
- Recent Clients
- Had at least one appointment in the last 30 days.
- First Visit
- Booked but no past history — first-timers.
- Loyal Clients
- 2 or more sales in the last 5 months.
- Lapsed Clients
- 3 or more sales historically, none in the last 2 months.
- High Spenders
- At least 500 of local currency in sales over the last 12 months.
- Upcoming Birthdays
- Birthday in the next 30 days.
These drive campaigns
Every standard segment can be the audience of a Blast Campaign — a birthday wish, a win-back offer for Lapsed Clients, a VIP discount for High Spenders.
Custom segments
- 1Open Clients → Segments → Custom and click Add.
- 2Give the segment a name and description ("Haircut regulars — last 90 days").
- 3Set the rules: minimum sales count, time window, minimum spend, last-visit window, category of service, tags attached, and so on.
- 4Optionally toggle Show as badge so the segment appears as a label on the client profile — useful for VIPs.
- 5Save. The audience count updates in real time as clients match or leave the criteria.
Straight to a campaign
Every custom segment has a Create Blast Campaign shortcut that opens the campaign editor with the segment pre-selected.
Blast campaigns
Blast campaigns send SMS, WhatsApp, or email to everyone in a segment. The same workflow for a holiday greeting, a promo code, or a feedback request.
- 1Open Clients → Campaigns and click New Campaign.
- 2Name the campaign, pick a segment, and choose the channel (SMS, WhatsApp, or email).
- 3For email, add a subject. For any channel, write the message body — use {firstName}, {lastName}, {fullName}, or {businessName} to personalize.
- 4Review the preview: how many recipients there are, how many will be skipped because they haven't given marketing consent.
- 5Click Send now — or schedule if that option is enabled in your plan.
Consent is respected
Clients who opted out of marketing are automatically excluded from blast campaigns, even if they're in the selected segment. The excluded count is always shown in the preview so you can see the real reach.
Consent & deactivation
Each client has two independent consent switches, visible from the profile Notifications tab.
- Appointment notifications
- Reminders, confirmations, cancellation notices. Usually kept on for anyone with upcoming bookings.
- Marketing notifications
- Blast campaigns, birthday messages, win-back offers. This is the one clients can opt out of without losing transactional messages.
Deactivation
Deactivating a client keeps their history intact but removes them from the active list, search, and campaign audiences. You can reactivate at any time. For full data deletion — a GDPR right-to-erasure request, for example — use the tools under Settings → Data Retention.
Tips
- Capture phone numbers on every first visit — they're worth more than email for SMS reminders and drive no-show rates down.
- Pin important notes (allergies, preferred language, "no small talk") — they should hit the team the moment the client walks in.
- Use custom segments before every campaign rather than shooting to all clients — engagement rates double when the audience is narrowed.
- Review Lapsed Clients monthly. A small, targeted win-back message usually outperforms a broad promo.
