Overview
Events are anything clients pay for that isn't a standard appointment — a yoga class, a workshop, a seminar, a paid consultation evening. Each event has a start and end time, a capacity, one or more ticket types, and its own cover image and description on the booking site.
Activation
- 1Dashboard → Add-ons → Events & Ticketing → Activate.
- 2Open Add-ons → Events. The main page lists every event.
- 3Optionally visit Settings first to configure waitlist, guest checkout, QR prefix, and check-in notifications.
Creating an event
- 1Click New Event.
- 2Fill in the basics: title, description, cover image, event type (in-person / online / hybrid), location, start and end date-time, timezone, total capacity, organiser.
- 3Enable the right advanced options — Zoom integration for online events, Require Approval for invite-only sessions, Allow Guest Checkout for frictionless purchase, Enable Waitlist to keep demand visible once the event sells out.
- 4Save as Draft while you iterate.
Ticket types
Each event has one or more ticket types — an Early Bird at a discount, a Standard price, a VIP with a higher cap. Set each ticket's name, price, and capacity. The total capacity at the event level still wins if ticket caps would push you over it.
Pricing mix
Early Bird + Standard pairs are the most common — set the Early Bird with a low cap (say 20) and the Standard with the rest. When Early Bird sells out, the booking site shows only Standard.
Publishing
Drafts are private — you can review, share internal preview links, and iterate. Publish flips the event live on the client booking site.
- Publish — the event appears in the client booking site's Events tab.
- Unpublish — takes it back to draft without deleting.
- Cancel — refunds (configurable) go back to every ticket holder; the event is archived.
Check-in day-of
When the event runs, open Events → the event → Check-In. Two flows:
- QR scan — point your camera at the client's ticket QR code. Instantly marked as arrived.
- Manual lookup — search by name or ticket ID; tick the checkbox on the attendee list.
The page updates live — attended count, waitlist size, capacity bar. No-shows can be marked at the end so they land in your reports.
Tips
- Always publish with the cover image set. An empty grey card converts at a fraction of a styled event.
- Use the waitlist even if the event isn't sold out — it signals interest and you can shift to a bigger venue if demand warrants.
- Export the attendee list as CSV the night before — useful as a paper backup if the check-in screen has network trouble.
