Overview
Follow-up Tasks is a light CRM layer. It auto-generates tasks for the team — "Call Sarah about her colour two weeks after the service", "Win back Ahmed, no visit for 60 days", "Send birthday message to Maya" — and tracks outcomes so you know which conversations turned into revenue.
Activation
- 1Dashboard → Add-ons → Follow-up Tasks → Activate.
- 2Open Add-ons → Follow-up Tasks. The List, Today, and Kanban views sit at the top.
- 3Set up auto-rules under Settings before relying on the system.
List, Today, Kanban
- List
- Every task with filters by status, type, member, priority, outcome, date. Bulk-complete, reassign, or snooze multiple tasks.
- Today
- Three columns — Overdue, Due Today, Upcoming. The daily work view.
- Kanban
- Columns by outcome state: Not Started, In Progress, Reached, Voicemail, No-Answer, Rebooked, Converted. Drag tasks between.
Creating a task manually
- 1Click New Task.
- 2Fill in: title, type (Callback / Reminder / Post-Treatment / Custom), client, assigned team member, due date, priority, notes.
- 3Save. The task appears in the list and in Today if due today.
Auto-create rules
The real power is automation. Settings → Auto-Create Rules.
- 1Turn on Auto-Create on Completion.
- 2Add a rule: pick a service or category, choose task type, set how many days after completion to create, who to assign (the provider who delivered the service is a strong default).
- 3Save. Every matching completed appointment now generates a follow-up task automatically.
Outcomes & retries
When the team works a task, they record an outcome: Reached, Voicemail, No-Answer, Rebooked, Converted (linked to a sale). Outcomes drive retries.

- Task closes.

- If a retry rule matches, a new task is auto-created after the configured delay, up to a max retry count.
Lapsed · birthday · no-show
- Lapsed Client
- Client hasn't visited in N days (default 60). A win-back task auto-generates, assigned to the last provider.
- Birthday Greeting
- A task is auto-created N days before each client's birthday.
- No-Show
- Every missed appointment spawns a no-show follow-up so the team can check in and offer a reschedule.
Messaging from a task
Open any task and hit Send SMS, WhatsApp, or Email. A template textarea supports {firstName}, {lastName}, {fullName}, {businessName} variables. Sent messages are attached to the task's history.
When the message leads to a sale, hit Link Sale — the revenue attributes to the team member on the task, which feeds into reports.
Tips
- Start with two rules — post-treatment callback at day 14 and lapsed client at 60 days. Add more as you see the pattern in your reports.
- Always set an outcome. A task with no outcome is noise; a task with an outcome is data.
- Link sales from converted tasks. The Staff Report shows the revenue every team member drove from follow-ups — the single clearest incentive to work the list.
