Team

Your staff. Members, schedules, permissions, commissions, attendance, payroll, and leave — the HR operating system of your booking business.

Basic team visibility is open. Inviting new members, setting permissions, processing payroll, and approving leave are gated by separate permissions so a shift lead can read without being able to pay anyone.

Overview

Team is the one place where everything about your staff comes together — who they are, when they work, what they can do in the app, what they earn, and how their hours and leave get logged. The Calendar pulls their schedule and blocked time. Sales pulls their commission rates. Accounting pulls their payroll.

Members

The Members tab lists everyone on your team — active and inactive — with their role, calendar colour, and location assignment.

  • Search by name or email.
  • Filter by status (active / inactive) or location.
  • Open any member for the full profile (Profile, Finance, Schedule, Permissions, Notifications tabs).
  • Deactivate a member to hide them from the Calendar and the booking site without deleting their history.
  • Remove a member for good — destructive, only the owner role can do this and only non-owner members can be removed.

Inviting a member

  1. 1Click Add Team Member on the Members tab.
  2. 2Choose a role (or "Custom" to configure permissions manually).
  3. 3Generate an invite link. The link is valid for 7 days.
  4. 4Share the link — email, WhatsApp, SMS, paper if you must.
  5. 5The invitee opens the link, creates a password, and lands in the dashboard as a full member.

Role presets

If you find yourself setting up the same permissions again and again, save them as a Permission Template under Settings → Permission Templates and apply the template on invite.

Member schedule

Each member has a weekly schedule — the days and hours they're available. The Calendar reads this to show shifts on the grid and to reject online bookings outside their hours.

  1. 1Open the member profile and go to the Schedule tab.
  2. 2For each day Monday–Sunday, either mark it as Day Off or add one or more shifts.
  3. 3Within any shift, add breaks — the Calendar paints these as labelled blocks so clients can't be booked into lunch.
  4. 4Save. Changes apply immediately to the Calendar and online booking.

Copy schedules

If ten stylists all work the same Monday–Saturday rhythm, set one up perfectly and use Copy schedule from one member to the rest — you only need to tweak the exceptions.

Permissions & notifications

Permissions are granular toggles per feature. Each member gets either full access or a custom set: Appointments, Clients, Catalogue, Sales, Team, Reports, Settings, Inventory, Booking, Addons, Tickets, Resources, Events, Expenses, Credit Notes, Cash Register, Follow-ups, Loyalty, Insurance.

Notifications decide what they're told about. Each member ticks which events trigger a notification for them — new online bookings, appointment no-shows, low-stock alerts, stock-order arrivals, daily summaries, ticket replies. Turn them all off and the member only uses the app manually; turn them all on and they're the first to know when anything moves.

Finance (pay & commissions)

The Finance tab on a member's profile is where pay structure and earnings are configured and reviewed.

Pay type
Hourly · Salary · Commission Only.
Hourly rate
Required for hourly pay — used by Timesheet and Pay Runs.
Monthly salary
Fixed amount for salaried members, also used by Pay Runs.
Pay frequency
Weekly / bi-weekly / monthly — controls how Pay Runs batch.
Employment dates
Start and optional end date — leave end blank for an ongoing contract.
Default commission
Percentage or flat amount per service/product line attributed to this member at checkout.
Per-service commission
Overrides the default on specific services — useful for special rates on high-margin treatments.

The Earnings section is read-only — pick a date range and see total earnings, split between appointments and product sales.

Blocked times

Blocked Times is the Team-level overview of every non-bookable block across every member. Same data the Calendar shows — different angle, better for HR actions like cancelling a whole training day.

  • Create a block for any member — vacations, meetings, training, dentist appointments.
  • Repeat blocks daily, weekly, or monthly with a Repeat until date.
  • Delete with scope: this occurrence, this and future, or the whole series.

Team schedule view

A read-only weekly grid of everyone's shifts, breaks, and approved leave in one view. Click a member name to jump to their individual schedule for edits. Useful for spotting coverage gaps before they hit the booking site.

Attendance

Clock-in / clock-out tracking with break support. Can be used by each member on their phone, or by a manager at the front desk on everyone's behalf.

Clock In
Starts the work timer for the day. Marked on-time or late against the scheduled shift.
Start Break
Pauses the work timer.
End Break
Resumes the work timer.
Clock Out
Ends the day. Marked on-time or early.
Auto Closed
If someone forgets to clock out, the system closes the shift at the end of their scheduled time and flags it.

The history view is filterable by member and date range. Missing records can be fixed with a Manual entry — useful for the first week when everyone forgets to clock in.

Timesheet

A weekly or custom-range comparison of scheduled vs actual hours, per member. Shows total hours, break minutes, overtime, late arrivals, and early departures — a single sheet that feeds payroll.

Period shortcuts

This Week and Last Week cover 95 percent of payroll cycles. Use Custom for one-off audits or when a pay run crosses a calendar boundary.

Pay runs

A pay run is a frozen batch of pay — one per pay period. It groups the hours, overtime, base pay, commission, bonuses, deductions, and net amount for each member into a single reviewable record.

  1. 1Open Team → Pay Runs and click New Pay Run.
  2. 2Pick the period and the members to include.
  3. 3Review the draft. Edit bonuses or deductions, add notes where needed.
  4. 4Submit for review. The data freezes.
  5. 5Mark as Processed when you're ready to act on it. Mark as Paid when the money has gone out.
  6. 6Back to Draft unlocks the pay run again if a mistake is caught.

Commission clawbacks

If a sale is refunded after the pay run is Paid, the commission becomes a negative line on the next pay run automatically. The deduction is flagged so you can discuss it with the affected team member.

Leave

Leave tracking lets team members request time off and managers approve or reject the requests. Balances are tracked per leave type.

  1. 1A member opens Team → Leave and clicks Request Leave.
  2. 2They pick the leave type (Annual, Sick, Unpaid, etc. — configured by the admin), the dates, and an optional reason.
  3. 3A manager reviews the request. Approve adds it to the Team Schedule; Reject closes it with an optional note.
  4. 4The member's balance updates; future requests check against the remaining quota.

Tips

  • Commission settings feed Sales, which feed Pay Runs. Set them up carefully once rather than editing pay runs row-by-row.
  • Copy schedule is your best friend — build one clean shift pattern and stamp it across similar roles.
  • Use Blocked Times, not Day Off, for known absences like a dentist appointment — the reason stays attached.
  • Run a Pay Run in Draft a week before payday. Fixing errors in draft is an order of magnitude easier than unpicking a Paid run.
