Add-on

Resources

Bookable rooms, chairs, and equipment. Tie resources to services so the Calendar never double-books the treatment room.

Overview

A resource is anything bookable that isn't a person — a treatment room, a dental chair, a machine, a shared laptop. Resources extend the Calendar with a second axis: an appointment needs the right team member and the right resource to go ahead.

Activation

  1. 1Dashboard → Add-ons → Resources → Activate.
  2. 2Open Add-ons → Resources. The landing page is a live dashboard of today's reservations grouped by location.

Resource types

Start by creating the types of resource you own. A type has a name, an icon, and a colour — so the Calendar can visually distinguish a Room from a Chair from a Machine.

  1. 1Open the Types tab.
  2. 2Add Type — name, icon, colour.
  3. 3Save. Repeat for each category.

Adding resources

  1. 1Back on the main page, click Add Resource.
  2. 2Pick the type, give the resource a name ("Room A", "Chair 2"), and assign it to a location.
  3. 3Save. The resource now shows up in the Calendar and on the Timeline.

Linking to services

A service that needs a room (a massage, a dental procedure) should have that resource requirement recorded. Open the service in the Catalogue → scroll to Resources → add one or more types or specific resources.

Requiring a type vs. a specific resource

Require a Type ("Any treatment room") for flexibility. Require a specific resource ("Room A") only when the service genuinely can't run elsewhere — an imaging machine, say.

Timeline

The Timeline tab is a horizontal calendar where each row is a resource and each block is a reservation or a manual block. Useful for seeing the room plan at a glance and for blocking time when a resource is out of service.

  • Drag on an empty row to create a block (maintenance, deep clean, repair).
  • Click any block to edit or delete it.
  • Date picker in the header switches the day.

Settings

Auto-assign Resources
When on, a booking that requires a type auto-picks the first free resource of that type. Turn off if you want staff to pick deliberately.
Require Resource
Blocks saving an appointment that has no resource assigned.
Show in Calendar
Paints resource assignments on the main Calendar grid.
Buffer Time (minutes)
A cool-down window between bookings on the same resource — time to clean, reset, turn over.

Tips

  • Start with types, not named resources. A type with three rooms under it covers the real world; three disconnected rooms don't tell the scheduler anything.
  • Set a 10-15 minute buffer for anything that needs cleaning. Back-to-back bookings look efficient in theory and cause chaos in practice.
  • Block the room on the Timeline for deep cleans and maintenance. The Calendar then won't allow bookings even if a member is free.
