Settings

Everything that shapes how your Momentfy workspace behaves — branding, locations, payments, receipts, notifications, integrations, and backups.

Full Settings access is typically owner-only. Individual areas (Locations, Receipts, Notifications) can be delegated via custom permissions.

Overview

Settings is the control panel. Most of it you'll set once during onboarding and rarely touch again; a few areas (tax rates, locations, notifications) you'll come back to as the business grows. Every change here applies tenant-wide — every team member sees the new behaviour as soon as they reload.

Business info

The root identity of your workspace — name, logo, country, and currency. Also the team and client default languages (controls the UI language for new team members and the default booking site language) and number-format preferences (Western 1,234.56 vs Arabic-Indic ١٢٣٤٫٥٦).

Date & time

Timezone
All appointments, sales, and reports are stored in UTC but rendered in this timezone.
Time format
12-hour (9:00 PM) or 24-hour (21:00).
Date format
Pick the one your staff and clients are used to reading.
First day of week
Monday or Sunday. Feeds the Calendar's week view and the Month view grid.

Calendar settings

See the Calendar module docs for the full behaviour. The key switches live here:

  • Display processing time blocks — shows the pre/post buffer on the grid.
  • Display blocked time — shows blocked-time blocks on the grid (still blocks online bookings either way).
  • Allow booking outside schedule — lets staff create appointments outside the member's shift.
  • Allow booking in past — lets staff backfill appointments that already happened.
  • Allow overbooking — lets staff double-book the same slot.
  • Auto no-show — automatically marks late appointments as No-Show after a grace period.
  • Appointment status colours — customise the colour for each status.

Payment methods

Toggle which payment methods appear at checkout: Cash, Card, Bank Transfer, Online, Installments (Tabby, Tamara), Gift Card, Loyalty Points, Insurance, Other. Disabled methods don't show up on the POS or the booking portal.

Tax rates

  1. 1Open Settings → Tax Rates and click Add Tax Rate.
  2. 2Give it a name (VAT 15%), the rate percentage, and mark it as Default if it should auto-apply to new services and products.
  3. 3Save. The rate shows up in the catalogue tax dropdown.

Inclusive or exclusive

The toggle under Business Info → "Retail prices include tax" decides whether your catalogue prices already include VAT or not. Flip it once at the start — changing it later means repricing the whole catalogue.

Receipts

Pick the receipt template (A4 Standard or POS Thermal), show or hide the logo, and add header/footer text. Auto-send receipt via email toggles whether completed sales trigger an automatic email to the client. Preview renders a sample receipt so you can eyeball it before committing.

Tipping

Enable tipping at checkout and provide preset percentages (e.g. 10, 15, 20). Clients see those as quick buttons plus a Custom option. Tips attribute to the team member on the sale — feed through to commissions and pay runs.

Online booking

Configure the public booking portal — the thing your clients see.

  • Enable / disable the whole portal.
  • Max advance booking (days ahead) and minimum notice (hours).
  • Booking slot interval — 15, 30, or 60 minutes.
  • Booking page description, cover image, and gallery photos.
  • Cancellation policy text.
  • Auto-confirm toggle to skip the manual review step.
  • Show products / memberships / reviews on the booking site.
  • Custom domain CNAME — point your own domain at the portal.
  • Live booking link — copyable URL for sharing.

Locations

Multi-branch? This is where each branch is defined.

  1. 1Open Settings → Locations and click Add Location.
  2. 2Fill in the basics: name, description, photo.
  3. 3Contact info: phone, email.
  4. 4Address: street, city, state, postal code, country. Pin the map location for directions.
  5. 5Timezone, capacity (max simultaneous appointments), and business hours per day.
  6. 6Assign the team members who work there.
  7. 7Save. Mark one location as the Default for cases where a location isn't explicitly chosen.

Zoom integration

Connect a Zoom account and online appointments auto-generate Zoom links — no more copy/paste into the notes field. Toggles for waiting room, cloud recording, and which appointment types auto-generate links. Connect is an OAuth flow; the connected account email is shown once connected.

Notifications & messaging

Everything that decides how Momentfy talks to your clients and your team. Four channels — In-app, Email, SMS, WhatsApp — each one independently switchable, with provider plugins so you can use the platform default or bring your own keys per tenant.

Channels

  • Email — SMTP (any host), SendGrid, or Resend.
  • SMS — Twilio.
  • WhatsApp — Twilio for WhatsApp, or Meta Business Cloud API.
  • In-app — always on; surfaces inside the dashboard bell tray.
  • Each channel has a Test Send button that fires a sample message before you switch it on for real traffic.

Rules

Per-event audiences: pick which channels notify staff and which channels notify clients for each event. 30+ events ship out of the box — appointment confirmed / reminder / cancelled / rescheduled / no-show, online booking, new client, low / out-of-stock, daily summary, ticket reply, subscription expiring, event registration, loyalty points expiring, follow-up due, birthday greeting, win-back, thank-you-tip, and more.

Templates

Edit subject + body per event and channel, in both English and Arabic. Each event exposes named variables (clientName, serviceName, staffName, date, time, locationName, totalPrice, currency, cancellationLink, …) — drop them in with double curly braces and Momentfy substitutes the live values at send time. Hit Reset to default if you want to roll back a template.

Logs

Every outbound message is logged with channel, recipient, event, status (sent / delivered / failed), and timestamp. Failed messages can be retried straight from the log row.

Personal preferences

Each team member can also override their own per-channel notification preferences from their profile — the rules engine is the floor, not the ceiling.

Storage

Where uploaded files (photos, logos, receipts) are stored. Local disk is the default — easy, no setup, but the server grows with your data. S3-compatible (AWS S3, DigitalOcean Spaces, MinIO) or Cloudinary are the two alternatives; both offload storage and serve images via CDN.

Migration

Changing storage providers after you've already uploaded content is non-trivial. Pick your target at the start if you can.

Permission templates

Build permission presets once, apply them to every new member. Useful if you have the same role across many staff ("Senior Stylist", "Reception") with the same access pattern. Templates are editable later; updating a template does not auto-apply to members already set up from it.

Data retention

Compliance-friendly purge rules.

Deleted records
How long soft-deleted rows are kept before being purged.
Read notifications
How long read notifications are retained.
Activity logs
How long activity logs are kept (0 = forever).
Cancelled / no-show appointments
Retention for these specific records.
GDPR right to erasure
Lets clients request full deletion of their data from the portal.

BNPL (Tabby/Tamara)

Buy Now Pay Later — Tabby and Tamara. Enable one or both, choose sandbox or live, enter the credentials provided by the BNPL partner (public key, secret key, webhook secret, API token), and pick the number of installments. Test connection sanity-checks the integration before you take a live payment.

Backup & restore

Full business export and import.

  1. 1Export: download a JSON backup that includes clients, services, products, appointments, sales, inventory, locations, discounts, memberships, schedule, ZATCA data, gift cards, reviews, activity logs, and settings.
  2. 2Restore: upload a previously exported backup to replace the current workspace data with the backup contents. The system asks for a confirmation matching the source business name to prevent accidents.
  3. 3Team members are matched by user account on restore — they're not included as data rows.

Restore is destructive

A restore replaces the current workspace data. Always back up the current state first, then restore. For partial imports, use the CSV imports in Clients or Catalogue instead.

Account & password

Your personal account credentials — separate from workspace settings. Current password, new password, confirm, save. Use a password manager; never share the owner account.

Tips

  • Set up Business Info, Date & Time, Tax Rates, and Payment Methods first. Every other area depends on those.
  • Keep receipts crisp — logo, phone, and a one-line thank-you are enough. Busy receipts get thrown away.
  • Data retention should align with your local laws and your industry norms. Keep longer than required if unsure.
  • Run an export before any major configuration change. If you break something, the worst case is a minute-old restore.
